Process Governance Software: Documented, Owned, Audit-Ready
Short answer: Process governance means every important process has an owner, a current approved version, a history of changes, controlled access, and documentation people can find and trust. Vevos supports this:
Processes are BPMN 2.0 Playbooks with restore points and version history.
Role-based access, comments with @mentions, and activity tracking.
AI-generated documentation, published to a knowledge base or shared through read-only links.
Enterprise SSO and SCIM 2.0 provisioning, with public pricing that starts free.
Why process governance fails
Most organizations don't lack process documentation. They lack documentation anyone trusts. The usual failure pattern:
An SOP is written once, then the process changes and the document doesn't.
Nobody knows who owns the process, so nobody approves changes.
Five versions live in five folders.
An auditor asks how a process works, and the honest answer is "ask Sarah."
Good governance software fixes the system, not just the document.
What process governance software should do
Capability | Why it matters | In Vevos |
|---|---|---|
A single source of truth | One current version per process | Each process is a Playbook: the map, documentation, and history together |
Version history | See what changed, when, and roll back | Restore points and history, with comparison tools |
Ownership and collaboration | Changes are discussed and approved, not made silently | Comments with @mentions, notifications, activity tracking |
Access control | The right people edit; everyone else views | Role-based access; viewer and editor sharing |
Findable documentation | People follow processes they can find | AI-generated docs, Knowledge Base publishing, read-only links, natural-language search |
Standard notation | Auditors and teams read processes the same way | BPMN 2.0 models, exportable as BPMN XML |
Identity management | Access follows HR systems | Enterprise SSO and SCIM 2.0 (Symphony plan) |
Easy updates | Documentation stays current only if changes are easy | Update the map in plain English; regenerate the documentation |
A practical governance cycle
Capture. Turn existing SOPs, recordings, or interviews into BPMN 2.0 maps. Vevos drafts these from the material you already have.
Assign an owner. Every process gets one accountable person.
Review and approve. Stakeholders comment on the map, and the owner signs off on the current version.
Publish. Generate documentation and publish it where people work.
Review on a schedule. Re-check high-risk processes (finance, compliance, customer-facing) quarterly and others annually, or whenever a system or regulation changes.
Change with history. Edit the map, keep the restore point, regenerate the documentation, and note what changed.
Governance for compliance and audits
Process maps help with audit readiness because they show:
Controls in context: where approvals, segregation of duties, and checks happen.
Exceptions: what happens when something is rejected or late.
Change history: what the process looked like at a given time.
Vevos helps you document and govern processes. It is not a substitute for a dedicated GRC or compliance management system, and it doesn't certify compliance with any specific regulation.
How Vevos compares with other governance approaches
Enterprise suites (SAP Signavio, ARIS): deep governance and process mining for large process programs, with enterprise pricing and rollout.
SOP and checklist tools (SweetProcess, Process Street): good for following procedures; lighter on process modeling.
Shared drives and wikis: cheap, but no ownership, version control, or standard notation.
Vevos: BPMN governance with AI capture and documentation, priced for small and mid-sized teams, with enterprise identity features when you need them.
